Etsy Return Policy Template — For the Day a Customer Asks for Their Money Back

A fill-in-the-blank return and refund policy for Etsy sellers, written in plain English. You replace the words in brackets with your own, paste it into your shop, and you are done. It covers buyers in the EU, the UK, and the USA in one file, and it handles digital downloads. Built by someone with 11 years in e-commerce.

The message is already in your inbox

That is usually how this starts.

Not on a quiet Sunday when you sit down to set up your shop properly. It starts when a customer messages you, and you realize you have nothing to point at.

A seller posted this a few months ago. It is the whole title of her post:

Customer wants a refund. I have no refund policy.

Another one, weeks later, about a buyer who changed her mind:

I don’t want to get a bad review but I feel like she thinks it’s Amazon

They are not asking what the law says. They are asking what to type back. And every hour they spend deciding is an hour the customer spends getting angrier.

What you are actually afraid of

It is not being sued.

Read any seller forum during a refund argument and the same sentence appears every time, in different words. One seller put it plainly while a buyer was waiting on her reply:

My main concern is a bad review.

That is the real cost. Not the $25 order. A one-star review on a shop with a handful of reviews does not cost you one sale. It costs you weeks.

And what stops it isn’t a better argument. It is having written the rule down before you needed it, so that saying no feels like policy instead of feeling personal.

Why does this cost $2?

Because I wrote it for myself first.

Eleven years selling online, into the EU, the UK, the US, and Canada. I needed one policy that worked across all those markets, and I couldn’t find one, so I wrote it. Handing it to you costs me nothing I have not already spent.

There is a second reason, and it is more honest than most sales pages will be.

This is the front door, not the business. I have a catalog. If one document saves you an argument with a buyer, you might trust me with the next thing. I would rather five hundred sellers use this than twenty.

And here is what you have already paid for the same problem: one refund you did not owe. One evening lost to a message you did not know how to answer. One review you are still thinking about.

Yes, you can generate one for free

I would rather tell you that than have you find out afterward.

Free tools can produce a return policy in about ninety seconds. If you sell physical products only, to American buyers only, that may genuinely be enough for you. Go and use one.

Here is what those tools give you: American wording, nothing about European buyers, nothing about the UK, nothing about what happens when someone downloads a file and then asks for their money back — and no idea where to put the result.

If you sell digital files, or you sell to anyone in Europe or the UK, free is not enough. That is the gap this fills.

The thing sellers argue about, and nobody wins

Watch a seller forum when a European buyer asks for a refund.

Someone says European buyers get 14 days to cancel, no reason needed. Someone else says that does not apply to custom work. The first person agrees. Then a third person points out that both of them are wrong about a whole category of product that most Etsy sellers make.

Three corrections. In public. Between experienced sellers. On a question that comes up constantly.

Nobody is confidently right about this, which is why almost nobody writes it into their policy. This file has it written down already, for all three markets, in language your buyers can actually read.

I won’t explain it on this page. That is the product.

What you get in the return policy template

  • The complete policy, ready to fill in. Every place that needs your information is marked. You replace words that are already there instead of writing from a blank page.
  • The decisions made easy. Where a real choice exists, the sensible options are already on the page. You pick one and move on rather than researching what other shops do.
  • All three markets in one file. EU, UK, and USA, each written out separately so nobody has to guess which part applies to them.
  • The digital download problem, handled. Written for people who sell files, not just parcels.
  • Where to put it. Told plainly, so it ends up published instead of sitting in your downloads folder.
  • Bonus: the Etsy SEO Checklist — 18 checkpoints, because a good policy does not help if nobody finds the listing.
  • Bonus: the 5-minute Bottleneck Diagnostic — find out whether this is even your real problem before you change anything else.
  • Bonus: Is Your Niche Holding You Back? — eight questions, two minutes.

Instant download. A PDF that opens anywhere. No account with me, nothing to install, nothing arrives in the post.

The 20-Minute Promise

Most guarantees are noise. Here is one you can check.

Open the file. Fill in the brackets. Paste it into your shop.

You should have a published return policy in under 20 minutes.

If you do not — for any reason at all, including “I got stuck” or “I did not understand a part of it” — email me within 30 days. I will refund you in full, you keep every file, and I will help you finish it anyway.

I answer these myself. Every one.

What this is not

It is not legal advice, and I will not pretend otherwise. It is an example of how a policy can be written by a seller who has written a lot of them. Laws differ by country and by what you sell. If you have a specific legal question, ask someone qualified in your own country. That is written inside the file too, not just here.

It is not a giant bundle. It is one document that does one job well. If you want thirty legal contracts, buy those from someone else.

It will not stop every bad review. Nothing will. It will mean that when one arrives, you have something to point at, publicly and calmly.

Who this is for

If the bigger problem is that buyers hesitate long before they ever reach your policies, 30 Biggest Etsy Mistakes covers the things that quietly cost you the sale.

Sellers who already have listings up and a few sales coming in. A full-time job, a shop that runs in the evenings, and a real target — $1,000 to $3,000 a month, steadily.

Every guide you open is written for either someone who has never listed anything or someone already making $30,000 a month. Neither of them is you.

This isn’t for people who haven’t published yet. If nothing is live in your shop, policies are not your problem. Start with the Etsy Shop Audit Checklist instead.

Frequently asked questions

Do I need a return policy on Etsy?

You are not required to accept returns, but you are much better off stating that in writing. Without a written policy, you are deciding every case from scratch while a customer waits, and you have nothing to point to if the conversation turns into a complaint or a public review. A clear policy also settles buyer questions before they message you, which quietly removes work you never see.

What should an Etsy return policy include?

At minimum: how long a buyer has, what condition the item must be in, who pays return shipping, how long a refund takes, and what cannot be returned at all. Sellers usually forget the last two, and those are the ones that cause arguments. This template covers all of them with the wording already written.

Does this cover digital downloads?

Yes, and that is one of the reasons it exists. Free policy generators are written for physical goods and go quiet on files. If you sell printables, templates, or any downloadable product, that section will matter to you more than any other part of the document.

Does it work for EU and UK buyers?

Yes. The EU and the UK are handled separately because, since Brexit, they are genuinely different. Most templates you can buy are written for American sellers only and don’t mention either one.

Is this legal advice?

No. This is an example of how to write a return policy, and the file states that plainly. Laws vary by country, region, and product type. If you have a specific legal question about your obligations, speak with a qualified professional in your area.

How long does it take to fill in?

Under 20 minutes for most sellers, which is what the promise above is based on. You are replacing marked words with your own, not writing from nothing.

Can I use it on my own website too?

Yes. It is not tied to Etsy. Use it on your website, on Shopify, or anywhere else you sell. Use it for as many of your own shops as you like.

What format is it?

A PDF that opens in any browser or reader. Nothing to install and no subscription.

I bought this on Etsy — is this the same?

The document is the same. This edition adds the 20-Minute Promise and updates land here first.

Can I get a refund on a digital download?

Yes, under the promise above. If you cannot get a policy published in 20 minutes, email me within 30 days, and I will refund you and let you keep the files. If something simply does not work, message me first — I would much rather fix it for you than read about it later.
